Position Summary: To perform various assigned accounting duties in an efficient and professional manner for the whole corporation.

Essential Duties and Responsibilities:

Key Responsibilities include, but are not limited to:

  • Employee will have access to confidential company and employee information. This position requires confidentiality and adherence to company policies regarding safeguarding employee information.
  • Prepare monthly reconciliations for inventory, accounts receivable, accounts payable (including accounts payable clearing), customer prepayments, AP advance payment, all withheld and accrued payroll accounts.
  • To determine our tax exposure in various states, it is imperative that a spreadsheet detailing the time employees spend working in states other than Pennsylvania is kept up to date.
  • Assist with monthly bank account reconciliations by clearing checks and deposits for all checking accounts. The cleared amounts must be tied back to the bank statement.
  • Preparing and recording monthly payroll accrual entries
  • Assist with the monthly financial close – including intercompany, reconciliations, recording bank charges, checking credit card entries to make sure the total deposit amounts match the monthly statement, and other various tasks as assigned
  • Monthly reconciliation of employee receivables – any outstanding receivables older than 30 days to be investigated and cleared up
  • Calculate and pre-pay CA taxes on a monthly basis, and calculate, file, and pay CA and PA taxes on a quarterly basis.
  • Track daily cash flow as well as approve or deny withdrawals in Positive Pay (AP checks, customer payments, etc).
  • Update the outstanding receivables spreadsheet on a weekly basis.
  • Prepare report of all end of month automatic charges to give to AP to be entered.
  • Report all shipments made to foreign ABC customers who are under our EXIM policy, and pay premium on a monthly basis.
  • For the ABC Actini Division:
    • Monitor orders by making sure all procedures are followed and all prices and cost match the budget before shipment and invoicing of an order.
    • Follow up with the sales team on the milestones for orders to make sure all that can be invoiced has been.
    • Invoice customers for goods or services ordered.
    • Receive and Process all checks and electronic payments.
    • Report customer non payments, slow payments, and other irregularities to appropriate personnel
    • Communicate with customers regarding their accounts
  • Work with CEO weekly on projects that are given by CEO.

Tools and Technology Skills:

Regular use of desktop computer including Microsoft Office software; calculators, scanner, copier, fax, telephone; and accounting, compliance, financial, and document management software.

Education and/or Experience Required:

Associate’s degree or higher in accounting discipline; or two years of related experience and/or training or equivalent combination of education and experience.

Mathematical Skills:

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume Ability to apply concepts of basic algebra and geometry.

Expected Hours of Work: 

Monday through Friday 7:30AM-4:00PM. Work schedule may have extended hours and/or perform weekend work when the need arises. Work schedule may have a temporary, alternative arrangement or shift as requested by supervisor.
